New business requirements for digital nominations and transcripts of records mark an important step toward broader adoption of these processes in digital form via Erasmus Without Paper (EWP) Network. These two processes—nominating students for mobility and issuing the transcript of records at the end of a study period—are core elements of Erasmus+ administration and digitalising them will help streamline exchanges between institutions.
Standardising Digital Nominations Across Institutions
Digital nominations, long requested by institutions, aim to replace today’s varied and fragmented methods. Once adopted widely, institutions will be able to send student nominations directly through their systems via EWP, eliminating the need for multiple tools and parallel workflows. Nearly 2,800 institutions already have access to an early version of this functionality, and the new business requirements—developed through community consultation—introduce updates such as separating nominations from incoming applications.
Addressing the Complexity of Digital Transcripts
Digital transcripts of records present a more complex challenge, as transcript systems often differ from those used for mobility management. Nevertheless, the newly agreed requirements provide a shared basis for institutions to explore implementation options. The community‑driven development process included contributions from BPO‑SEG members, EWP user groups, and EWP Champions to ensure the requirements reflect real institutional needs.
From Business Requirements to System Implementation
The next phase involves translating the requirements into technical specifications, followed by system updates from in‑house and third‑party providers. Institutions will also need to review how these steps fit within their internal workflows. Progress will be communicated to the user community as systems prepare to support digital nominations and transcripts on a voluntary basis. For 2024, the primary focus remains on ensuring all institutions exchange inter‑institutional agreements and learning agreements through EWP.
