Digital nominations in EWP: A new practical guide for higher education institutions

The digitalisation of Erasmus+ mobility processes has advanced significantly in recent years, and among these developments, digital nominations have emerged as one of the most important features. A new comprehensive guide on managing digital nominations through the EWP Network has now been published, offering valuable support for institutions across Europe.

A guide created by practitioners for practitioners

The newly published guide is aimed primarily at international relations officers and mobility coordinators involved in Erasmus+ mobility management. It provides a clear, non-technical overview of the digital nomination process within the Erasmus+ programme for the 2021–2027 period.

The guide was developed in close cooperation with international relations officers, ensuring that it reflects the practical realities of daily work at higher education institutions. By integrating their feedback and professional experience, the publication seeks to provide practical support for staff responsible for handling digital nominations.

Importantly, the guide does not focus on a specific mobility management system. Instead, it describes the common processes and data standards used throughout the EWP Network, allowing institutions that rely on different software solutions to share a common understanding of how digital nominations operate.

From overview to practical details

The guide presents a structured overview of the digital nomination process and the broader operational environment in which it takes place. It is designed as a practical reference for everyday work, supporting staff as institutions move from fragmented nomination procedures toward a more streamlined digital workflow.

The guide explains how to manage nominations from both the sending and the receiving institution’s perspective. It also clarifies the different components of the nomination process, including nomination statuses and the data fields exchanged through the EWP framework.

Additionally, the guide includes practical explanations for situations that may arise in everyday work. These include correcting information, handling rejected nominations, or managing cases where a digital inter-institutional agreement is not yet in place.
